Full-time CLIENT SUCCESS EXECUTIVE (BACK OFFICE OPERATOR)

We are looking for a determined, methodical and energetic individual to join our team, known internally as the Back Office Operations (BOO) team. This role will be performed online from home.

The BOO team is responsible for overseeing the process of building the client's file. You ensure all necessary documents meet the established criteria prior to submitting the files to the relevant authorities. Excellent teamwork and meticulous attention to detail are vital to your success in this role. You will work closely with colleagues and the smallest error can mean the application is rejected causing additional delays and costs.

A remote work environment is not for everyone! Training in this role is primarily from documents, some videos, asking your colleagues and often you will need to find the solution for yourself. It requires a great deal of self-reliance, determination and proactivity but it is very rewarding and an amazing life skill.

Typical Tasks:
Manage the email inbox from your designated client portfolio
Upload files and inform clients of anything missing
Regularly keep clients up to date with all progress or delay with their application
Prepare forms for clients
Prepare documents for translation
Delegate to Customer Services team where appropriate
Proofread colleagues work to identify and resolve any errors
Attend weekly online meeting with BOO team and with whole imapolania.com team
Work closely with your colleagues in the BOO and other teams
Analyze clients' cases and troubleshoot when necessary

Ideal candidates will have most, if not all, of the following:
Good level of English language skills: Reading, writing and speaking
Prioritize multiple tasks and communicate agreed timelines and deliverables
Apply logical and critical thinking to the rules regarding the application process
Determination to find solutions, patience and courtesy to clients and colleagues
Responsible, methodical with very high attention to detail
A high degree of self discipline to work from home successfully
Good communication and interpersonal skills
Comfortable using Google Workspace and ability to learn new systems
A good computer with at least 15″ screen and reliable internet connection
Good language skills in one or more of the following would be an advantage: Spanish, Portuguese, Hebrew, Polish
