Receptionist/Secretary

at Jobisite in Valletta

Our client, a fast-growing office in Malta, is seeking a Receptionist/Secretary to join their team. The ideal candidate will be a cordial, smart, highly motivated, and forward-looking individual who is meticulous, organized, and capable of working on their own initiative.

Responsibilities:

Responsible for the front office and reception area, ensuring that it is always presentable and welcoming
Provision of general secretarial support, including drafting correspondence and managing the diary of senior staff members
Answering incoming calls, emails, and correspondence, and directing them to the relevant person
Undertaking office administration tasks, including photocopying, filing, and archiving
Updating spreadsheets and maintaining records as required
Registering employees for training sessions and keeping track of training records
Liaison with office suppliers to ensure that the office is well-stocked with stationery, equipment, and other supplies
Assisting senior staff members with day-to-day tasks as required, once fully settled into the initial role.

Requirements:

Fluent in both Maltese and English, both written and spoken
Previous experience in a corporate service provider or legal industry preferred
Competent with MS Word and MS Excel
Friendly, open, and approachable personality with excellent communication and interpersonal skills
Ability to work independently and use own initiative
Highly organized with excellent attention to detail.
