Full-time Office Manager

at Jobisite in New Jersey

The Office Manager must be an advocate for our employees! This is a role that offers both financial and HR responsibilities for a team of 50+ employees. This role assists with human resources and the on-boarding of new employees. This person will also be responsible for accounts payable and payroll as well as be a part of the in-house accounts payable/accounts receivable team for the month-end close.

Responsibilities
Human Resources Functions:
•Manages vendor contract files
•Prepares and maintains all employee files.
•Maintains personnel files
•Assists in the recruitment of new employees
•Performs on-boarding process of new hires to include paperwork and adding them into our system
•Assists in the administration of Company benefit programs
•Provides support and guidance related to employee leaves of absence
•Assists with counseling, documenting employee grievances, investigations, and tracking corrective actions

Financial / Accounting Functions:
•Processes bi-monthly payroll
•Inputs all required information related to AP into the QuickBooks System Performs accounts payable duties to include data entry of payables into the system and submission of monthly AP purchase journal.
•Records proper coding and proper approval on all invoices.
•Assigns all expenses to the proper department code numbers Accounts Receivable.
•Inputs all required information related to AR and resident information into the QuickBooks System Perform accounts receivable duties to include data entry of transactions and collection of amounts due.
•Generates Customers billing with accuracy.
•Responds to Customers inquiries.
•Provides information and data entry of financial information
•Ensures all past due accounts are addressed according to the best practice standards.
•Maintain orderly financial filing system General accounting duties as necessary.

Qualifications
•Minimum 5 years of business office administration or office manager experience
•Competent in Microsoft Office applications like Word, Excel, PowerPoint.
•Competent in QuickBooks, payroll processing, managing leave tracking
•Great interpersonal skills
•The ability to be flexible! Each day is different and ability to adapt and flex your time is imperative
