Kiliuda Consulting is seeking an Entry Level Executive Assistant to support our client on the Washington Navy Yard.

Responsibilities:

Process mail in accordance with SSP correspondence guidelines
Prepare form letters, memoranda, and other business related documents in accordance with the Navy Correspondence Manual and SSP procedures.
Format, track and route Branch correspondence
Manage Branch correspondence log
Create and maintain office files to meet government requirements in accordance with the Directives Management and Records Management documents
Attend meetings, generate and maintain meeting minutes, disseminate information, note important information or conflicts, and follow up on action items
Attend selective SP internal meetings on behalf of the Branch. Non-Technical, Non-Program Project specific such as Command Initiatives, Brown Bags, etc.
Schedule and arrange for conference facilities and conference/VTC calls.
Schedule SP Conference Room(s) required to support Program / Branch personnel activities.
Manage schedule for SP26 Conference Room utilization / availability.
Process security information to meet government requirements in accordance with SSP Security Manual
Process SP, CAC, etc. Badge Requests, JPAS and Visit Requests for SP26 employees, SP26 Support Contractors and occasionally, NAVSEA partners
Perform administrative tasks/duties in accordance with branch operating procedures. Examples include managing branch supply orders, ensuring printer stations are monitored, and ensuring phone rosters are updated.
Develop / maintain Branch Administrative / Clerical Standard Operating Procedures (SOPs) / Checklists.
Track & organize Branch Supplies / Place order as necessary.
Ensure Branch re-call list / roster is up-to-date.
Manage / track to resolution, selective IT & office equipment issues encountered within the office.
Resolve administrative related issues and develop solutions for administrative or clerical functions independent of management (EAIII Item) and/or with minimal management engagement
Provide Branch Head, Deputy and Section Head support for work Calendars, meeting management / reminders, Travel Orders / Arrangements and for screening of Office Visitors, Phone Calls and Messages.
Develop and implement method(s) to notify / track Branch actions for Branch / Command specific activities. All Hands Training, Annual TWMS/NKO Web-Based Training, Brown Bags, Lectures, Forums.
Fulfill role as “Reviewer” of SP26 Branch Govt Personnel Travel Orders and Vouchers within Defense Travel System (DTS).
Obtain Government provided initial DTS training and periodic DTS Refresher training to fulfill and maintain role as a DTS “Reviewer”.
Periodically “Review” SP26 Branch DTS Travel Orders and Vouchers (Approx. 15-20 per Month @ approx. 10-20 Minutes each).
Fulfill role as SP26 Branch Personally Identifiable Information (PII) Coordinator.
Perform yearly on-line PII training (May be more training required for PII Coordinator).
Conduct PII review / audit of SP26 Branch Spaces / Burn Bags / Shared Drive, every 6 months, following prescribed Checklist / Guidance with SP26 Sponsor. (Estimated 2-4 Hours every 6 Months)
Requirements:

ACTIVE SECRET CLEARANCE IS REQUIRED
U.S. Citizen
Ability to pass a background check
Minimum of Associates Degree; Bachelor’s Degree preferred
Experience may be substituted for education
Minimum of four years of administrative experience required
Experience in formatting, processing and records maintenance of all official documents
Proficient in Microsoft Office Suite
Experience scheduling appointments and professional correspondence via email
Self-Starter; take initiative; ask for opportunities to
Ability to work independently and be highly responsive
Strong attention to details
Excellent interpersonal communication with a positive attitude and good listening skills
Position is in Washington, DC
