Full-time Office Administrator for Operation

at Jobisite in Florida

The right person for this position will be very organized and detail-oriented, results-focused with a “CAN DO” attitude. They must work well as part of a team and be coachable. Also, they must be comfortable in a deadline-conscious environment and speak ENGLISH and SPANISH fluently.

ESSENTIAL FUCTIONS & RESPONSABILITIES
▪ Maintain great communication with customers and technicians
▪ Oversee all change orders for extras
▪ Intake and documents all customer complaints received
▪ When necessary, send e-mail notifications of overspray
▪ Retrieve receipts and turn them to the correct department.
▪ Check incoming emails for services
▪ Cover and assist in other office departments as needed
▪ Assist in any capacity to ensure smooth operations of office and business on a daily basis


REQUIRED SKILLS

▪ Fully bilingual in English and Spanish-no exceptions (please do not apply if you do not meet this requirement as it is necessary for business operations)
▪ Exceptional management skills for overseeing 50+ subcontractors
▪ Customer engagement skills to establish rapport with 70+ client properties
▪ Strong interpersonal and diplomatic communication skills for intensive phone and e-mail communication in both English and Spanish
▪ Strong ability to multi-task efficiently while maintaining exceptional attention to detail
▪ Exhibit sound judgment and swift decision-making skills and follow-through
▪ Highly developed proficiency with Microsoft Office programs such as word, excel, outlook, Google Sheets, etc.
▪ Strong flexibility and ability to work independently and as a team with others to support all areas of office function
▪ Willingness to come in early or stay late depending on workload
▪ Have a clean background and stable work history
▪ High school graduate or higher-level education
▪ Experience with QuickBooks online preferred, but not necessary
▪ Minimum of 2 yrs. of experience with Client Service
GENERAL DUTIES:

▪ Answer and respond to incoming phone calls and accurately record all messages as needed, direct calls to appropriate parties and/or assist callers when possible
▪ Responding to general inquiries via phone and/or e-mail and forwarding inquiries to various departments as appropriate
▪ Prioritize duties and manage multiple competing priorities in a confidential and professional manner
▪ Handles day to day operations and specific tasks in a fast-paced environment
▪ Create office templates, logs and/or forms as needed and/or by request



JOB DETAILS:

▪ Full-Time Position available for immediate start
▪ Family-owned business with office located in Lake Worth, FL
▪ Hours of Operations: M-F 8:00 am – 5:00 pm ( 1hr lunch break)
▪ Paid PTO
▪ Paid Holidays
▪ Health Insurance
▪ Punctuality is strictly enforced
